Withdrawals from entries

Morning. When someone withdraws or presses the 'X' beside a class which removes them from it on https://entry.equipe.com/meetings/3023/entries

Is there a way to see on app.equipe the date and time the withdrawal happened in bulk. For example, we charge competitors when they withdraw after midnight and there is no way to set this parameter on Equipe. 

If there was a way for us to see at once the date and time of all withdrawals rather than having to click on each on that would be very very helpful?

Can in2strides or someone help here. We have now lost £5K from our accounts. I think a Teams or a zoom meeting to discuss and explain what is going on would be important. Equipe is costing more money than before using our old system

Explained how the entry system should be used.

The first moment you import from entry.equipe into app.equipe is the moment that the withdrawn riders should be pay.
The setting in show settings should be set to 'Withdrawn should pay'.

When riders now withdraw from entry.equipe and the entries are imported they are set to withdrawn in app. and they still need to pay.
Riders who get a refund even if they withdraw later can be set to 'Changed'. This setting won't be overruled when importing again from entry.

If you already had imported  before the deadline you need to set all the withdrawn entries to 'Changed' to preserve they will be overridden in an new import

Thanks. I understand what you are saying but this won't work because the application of withdrawals on Equipe cannot be specific to a date, time or class. Can we have a teams meeting or zoom to discuss as it's very hard to explain over text. We are loosing thousands of £s and we will potentially have to stop using Equipe if we cannot come to a solution. We are the biggest show centre in the UK so we would appreciate some help. For example:

From the 14th of October until the 20th October, anyone who withdrew from their stables got a refund and they shouldn't have. We manually put the no show fee back on as an extra in the accounts however the system should allow us to stipulate for what class and from what date we should be able to make withdrawals chargable.

The trouble is, we have to import entries multiple times per day so your solution is not an option as national entries work on an individual class basis unlike FEI shows.

In national shows, they have to enter each single class on entry.equipe. We have had almost 900 entries per day and 100s of changes and withdrawals. We need a way of Equipe to make withdrawals chargeable for each specific competition or list from a date and time that we specificy.

Here's a few examples that would be the best solution:
Competition 16 from this event is chargable from 1800 on 21st October. Anything PRIOR to this time is refundable. https://app.equipe.com/meetings/57045/startlists/2023/10/22
Any withdrawals from the Barn Stables from 1200 on 14th October are chargeable. Anything PRIOR to this time is refundable.

The issues is there are specific times and dates for each day and list and there is no way to specify this. 

Just to stress, we have now lost almost £5,000 for this show alone and I need a resolution ASAP as this is happening at a lot of our events. As we have a lot of shows and entries you can see why I am very worried about this

So you first import is on October 14.
On October 21 after 1800 you do a new import and set in competition 16 the withdrawn entries (if any) to changed.
A new import there after will charge the withdrawn in competition 16.

That's how it works in NL and BEL

I do see what you mean but you must see how much that work there is. We have to do imports all of the time and eventually we will loose track of who needs to be marked as 'changed' and who will be marked as withdrawn. Surely a system as intelligent as Equipe should be able to handle this?

We have looked at the NL and BEL shows and the volume of entries are nowhere near what we have going through the system.

Hopefully we can some up with a solution or at least a conversation as our business finances are leaking big time.

Is there an update please? We have had to manually key over £5,000 of stable and entry fees back onto accounts for last week and the same thing will be happening this week. We need a way of charging withdrawals from a specific point in time for each individual compeition or list. This will resolve the issue for us.

Due to the amount of money we are loosing we need answers. Thanks
